With immediate effect, our Logistics department is looking for a: 

Stock Management Specialist 

(Based in the Amsterdam office) 

 

The Logistics Department provides logistics and technical support to the MSF-OCA (Operational Center Amsterdam) medical humanitarian programs conducted in the various project countries. The department consists of several units, including the European Supply Center - Amsterdam Procurement Unit (ESC-APU).

 

This unit is responsible for sourcing, procurement, and processing orders for supplies to 26 project countries in accordance with the Service Level Agreements.

 

The Stock Management Specialist is a team member of the Stock Management Team and part of APU, ensuring the correct stock assortment, in the right quantity and at the right location. It continuously looks for improvements in the Inventory Model and Demand Forecasting Tool. The team actively analyses the supply chain for consumption, quality, availability, lead time from vendors, shelf life, critical items, risks of supply and costs

 

At International level, in line with the MSF Organizational Supply Strategy’s (OSS), the Stock Management team works in cooperation with the two other European Supply Centers (ESCs), in Brussels and Bordeaux, to identify cooperation and support areas and leverage the scale of MSF. 

 

Main responsibilities 

In the role of a Stock Management Specialist, you are responsible for the Stock Strategy for your assigned categories of products, for the Amsterdam Procurement Unit (APU). You coordinate and carry out stock management and strategy, including definition of the optimal stock assortment, stock level and its location, coordination of stock count activities and management of returned goods. You ensure a high availability and service level for the stocked assortment while balancing inventory value and minimizing inventory write-offs. 

You are constantly looking for inventory optimization opportunities and contribute to the development of models, tools and processes to support more efficient and accurate stock management. As a team player, you collaborate with a wide range of internal and external stakeholders, working together at solving issues at hand and improving ways of working together.  

In this role your knowledge, experience and hard work directly contribute to advancing MSF’s social mission: assisting people around the world affected by conflict, epidemics, natural disasters, or exclusion from health care. 

 

Responsibilities and activities 

You work on optimising availability of the goods and lead time in the APU Supply Chain process, while balancing the value of inventory and ensuring minimal disposals. Working closely together with Tactical Procurement Specialists, you implement sourcing strategies in line with the operational needs. 

 

Through constant monitoring and analysing of the inventory status, you anticipate gaps in coverage, shortages and inventories coming close to expiry. You advise stakeholders, propose mitigation measures and act over those.  

Additionally, you: 

  • Maintain the rationale behind the stocked-goods list and safeguard the appropriate stock level according to the needs; 

  • Reconcile administrative with physical stock levels, and administer and report the deviations in a timely manner; 

  • Safeguard an accurate and timely availability of the stock item portfolio and decide on corrective measures needed; 

  • Register accurately all transactions in the ERP system to ensure an audit trail; 

  • Monitor system and transactions for errors and imperfections and liaise with the various stakeholders to correct them; 

  • Coordinate together with the Logistics Service Provider the stock integrity at the warehouse and align with them the goods disposal process; 

  • Coordinate administrative and physical warehouse transfers; 

  • Create and send stock purchase orders to suppliers to ensure a timely inventory replenishment; 

  • When required, check and approve invoices related to stock purchase orders, or decide on corrective actions in case of mismatch; 

  • Provide on-site logistic-administrative support in case of emergencies or on request by Operations, and analyse the part of the regular stock that can be allocated to emergencies

Candidate profile 

We are looking for an enthusiastic, integer person who enjoys working in a team and working with a wide range of stakeholders. Looking at how the world is evolving the work environment can be at times hectic and unpredictable, which make flexibility, thinking out of the box and eagerness to learn, important qualities. 

 

  • BSc/MSc in Supply Chain Management, Business Administration or any related field 

  • Minimum of 3 years professional experience in logistics / inventory management 

  • Familiarity with analytical tools and experience in ERP systems implementation 

  • High proficiency in Excel 

  • Good communication skills and fluency in English (speaking and writing). French is a plus. 

  • Flexibility to visit the warehouse when needed 

  • Flexibility to work out of standard business hours when needed 

  • MSF or humanitarian experience is a plus 

  • Experience working with medical products and familiarity with Quality terms / documents is preferred

We offer   

A Dutch employment contract for the duration of 12 months, subject to renewal with satisfactory performance. This is a structural position. With a start date as soon as possible. 

A gross monthly salary with a range between 3,743 and 5,153 euros gross per month. Your exact salary will depend on your relevant work experience, based on a fulltime appointment.
